Complete dialer guide
Every screen, button and shortcut on the calling page — preparation, session, live call.
This guide walks through the whole Dialer page: the preparation screen, the running session and the live call, button by button.
1. Preparation screen (before the session)
This is the screen you see while no session is active.
Top bar
- Campaign picker — "Select a campaign ▾". The queue of contacts loads as soon as you pick one (and is remembered). Archived and completed campaigns don't appear in the list.
- Reachable-contact counter (people icon) — the number of contacts actually reachable from your caller number, not the raw size of the queue. See Calling zone & countries.
- Caller number (phone icon) — picks the number shown to the person you call. The list shows each number and its country.
- Out-of-zone banner — appears when some contacts can't be reached: "X contacts aren't reachable from +33… — switch caller number to call them."
- On the right:
- Refresh from HubSpot — re-syncs the queue (campaigns tied to a HubSpot list).
- Columns — picks the columns of the queue table.
- In-call fields — picks the fields shown on the contact card during a call.
The queue table
- Loading: greyed-out rows while the queue arrives.
- No campaign: "No campaign selected." + a Browse campaigns link.
- Empty queue: "No contacts in "campaign name"." + a Browse campaigns link.
- Filled queue: configurable columns (Name, Company, Phone…). Clicking a row opens the contact card — it does not place a call.
Contact card (on row click)
A side panel with the contact's details and two actions:
- Call — places a manual call to this contact. Greyed out when the contact isn't callable; an "This contact is opted out and will not be called" notice shows where relevant.
- Do not call — adds the contact to the Do Not Call list (confirmation: "Add X to the Do Not Call list?").
You'll also find the open tasks, an Add task button, the View in HubSpot link, and the contact's history.
Action bar (bottom)
-
Mode picker — five buttons:
Mode Effect 1-line One contact at a time (sequential). Multi-2 → Multi-5 2 to 5 numbers dialed in parallel. -
Start session — launches the session. Greyed out while no campaign is picked, or when there aren't enough reachable contacts for the chosen mode (e.g. Multi-5 needs at least 5 reachable).
Audio check before you start
An audio check opens before the first session of each browser session, and again as soon as your audio devices change (headset plugged in, AirPods unplugged). Closing the tab or the browser resets the counter.
Blocking screens
Depending on the state of the account, the preparation screen can be replaced by:
- Out of minutes / Subscribe to start calling / Dialing paused — with an Open Plan button (see Billing).
- No phone number yet — with a Get a number button (see Numbers & KYC).
2. During the session
Status bar (top)
- On Air + timer — tells you the session is running, with the elapsed time.
- Live counters: dials, connected, meetings — plus "Active lines · N" in multi-dial.
- Pause — stops dialing, keeps the session open.
- End — closes the session and opens the summary.
Lines and their states
In multi-dial, each line shows a state:
| State | Meaning |
|---|---|
| — empty — | Free slot. |
| Ringing | The line is ringing. |
| Connected | This line "won"; you're connected to it. |
| Human | A human was detected (pick-up). |
| Voicemail | Answering machine / voicemail. |
| IVR | Switchboard / interactive voice response. |
| Unknown | Detection was inconclusive. |
You hear a ringback tone in the browser while the lines dial. As soon as a human picks up, you're connected to them and the other lines are hung up ("X lines hung up").
3. During the call
The call opens full screen. The audio controls only become active once the call is actually up.
Top
- End call (cross) — hangs up the current call. Also: the
Esckey. - Minimize — folds the call into a floating pill (see below).
- Audio devices (headset) — switches mic / speaker on the fly.
- Mute / Unmute — cuts your microphone.
- Hold / Resume — puts the prospect on hold.
- Transfer — opens call transfer (see below).
- Record / Stop rec — toggles recording.
- More (C) — opens the context panel (history, HubSpot activity, custom
fields, email). Shortcut
C. - End session (red) — ends the whole session.
Center
- Identity card: name, job title, company, phone, last call, and the configured fields.
- Script: the campaign's script (text or PDF). When there are several scripts, a picker lets you switch.
- Call notes: an input area with autosave (statuses Saving… / Saved).
Outcomes bar (qualification)
- Outcome chips — your configured outcomes. Qualification happens on click (the first 7 outcomes are shown; the rest sit in a More ▾ menu).
- Skip (
N) — moves to the next contact without qualifying.
Sending tones (DTMF)
During a connected call, press 0-9, * or # on your keyboard to send tones — handy for navigating an IVR or entering an extension. An echo briefly shows the digits sent.
Transferring a call
Two modes:
- Blind — immediate transfer to a number.
- Warm — you speak to the target first, then confirm the transfer.
Floating widget (minimized call)
Bottom right when the call is minimized: a pill with a timer and the contact's name, an Expand call button and an End call button.
4. Session summary
At the end of a session, a summary appears: number of calls and duration, Connects and Callbacks tiles, a breakdown by outcome, and a comparison against your average. Close and View details buttons.
5. Keyboard shortcuts
| Key | Action |
|---|---|
| Space | Start ↔ pause the session |
| 0–9 · * · # | Send a DTMF tone during the call (IVR, extension) |
| S | Skip the current call |
| N | Skip / cancel auto-advance |
| C | Open/close the context panel |
| Esc | Close the panel, otherwise hang up |
Shortcuts are ignored while you're typing in an input field.
